The Higher Education Act of 1968, as amended by Congress, mandates that institutions of higher education monitor academic progress of students who receive federal student aid.

Financial Aid Disbursement and Satisfactory Academic Progress

New Department of Education Regulations go into effect July 1, 2021. These new federal regulations change how financial aid is disbursed and the method of determining Satisfactory Academic Progress (SAP).

First-time MyWay enrolled students will receive financial aid for their first period of enrollment at the beginning of the subscription period. After a student’s second subscription period, all full-time students must earn a minimum of 12 hours, and all part-time students must earn a minimum of 6 hours. Students who fail to complete the hours they signed up are placed onto Financial Aid Suspension and are not eligible for federal student aid until they meet eligibility requirements.

Fulltime student example – Meeting SAP

• Student enrolls for 1^st subscription period and completes 12-credit hours.
• 2^nd Disbursement of financial aid is on time and completes 12-credit hours.
• 3^rd Disbursement of financial aid is on time and completes 12-credit hours.

  Fulltime student example – Not Meeting SAP

  Student enrolls for 12 hours in a 6-months subscription period utilizing financial aid but does not complete all 12 hours. The student will not be eligible for their next federal aid disbursement until all 12 hours are complete. The student will need to make payment arrangements for their next enrollment subscription period. Upon completion of 12 hours, the student will then be eligible for their next federal aid disbursement.

  Halftime student example – Meeting SAP

• Student enrolls for 1^st subscription period and completes 6-credit hours.
• 2^nd Disbursement of financial aid is on time and completes 6-credit hours.
• 3^rd Disbursement of financial aid is on time and completes 6-credit hours.

Fulltime student example – Not Meeting SAP

Student enrolls for 6 hours in a 6-months subscription period utilizing financial aid but does not complete all 6 hours. The student will not be eligible for their next federal aid disbursement until all 6 hours are complete. The student will need to make payment arrangements for their next enrollment subscription period. Upon completion of 6 hours, the student will then be eligible for their next federal aid disbursement.

Students can only switch from full-time status to half-time or half-time status to full-time status once during an academic year.

Students not eligible for their next federal aid disbursement must contact the Bursar’s Office to pay in full or set up a payment plan at 254-295-4533 or cashier01@umhb.edu by the start of the term.

Suspension Period
In the subscription period after SAP has not been met, students will be sent notification to inform them that they are not meeting SAP and on financial aid Suspension. The notification will include SAP requirements, steps necessary to meet SAP in the upcoming subscription period.

During the next 6-month subscription period, once a student has completed the incomplete hours, they become eligible for financial aid. The student must then complete new half-time or full-time hours before the 6-month subscription period ends.

Terminology:

Subscription period: six-month calendar period of enrollment for a CBE student.

• Each subscription period will begin on the 15th day of the month and end 6 months later on the 14th day of the month.

Credit Hour Equivalents (CHE’s): One competency in a subscription period can be equal to a one to six credit hour class.

Competency: Students enroll in competencies for a subscription period.

Federal Financial Aid regulations require students to register for six or more credit hour equivalents.  Students awarded Federal Financial Aid should work with their success coach to ensure the competencies for which they are registered equal six or more credit hour equivalents.

MyWay at UMHB degrees are 120 credit hours in length (after bridging competencies back to credit hours). Optimally, programs can be completed within 4 years. Therefore, the maximum time frame to complete a MyWay at UMHB degree is 6 years or 12 subscription periods for students attending full-time. The program should be completed within 12 years or 24 subscription periods for students attending half-time. Note: If program is not completed within 6 years, student may be required to adhere to the current degree program according to the current catalog year.

Transfer Credits
Accepted transfer credit hours will be included in the SAP calculation for the next payment period (subscription period).

• Incoming transfer students transfer in, meeting SAP.

• Transfer credits accepted by The University of Mary Hardin-Baylor are included in the SAP Evaluation.

Repeating Classes
Enrollment in a unique competency can be counted in more than one subscription period. If a student fails to complete any course they begin in a subscription period they must complete those courses before they are eligible for any subsequent disbursement of financial aid.

Withdrawing from the University / Failure to Earn a Passing Grade
Withdrawing from all competencies during a subscription period or failure to earn a passing grade in all competencies attempted during a subscription period may cause all or part or your financial aid to be returned based on a Return to Title 4 aid calculation. Initially enrolled competencies and final GPA are reviewed for satisfactory academic progress at the conclusion of each subscription period.
